Custom automation
From inbox and quotes to lead follow-up and reporting: we build custom automations for real estate, B2B businesses and local service providers. First system from €1,600.
No-strings call, concrete proposal within 1 week.
Who is this for?
For agents who want more mandates and less admin.
For companies that want to attract new customers more consistently.
For roofers, damp-proofers, painters and contractors.
How it works
No-strings conversation about what is in the way. We listen, you talk.
Concrete, tailored, fixed price. No surprises on your invoice.
Working system, tested and in use. You see the milestones along the way.
Monthly or per project. We keep refining until it runs smoothly.
What we automate
| Task | Before | After |
|---|---|---|
| Inbox follow-up | Hours per day sorting and answering mails | Automatically filtered, labelled and drafts ready to send |
| Orders & requests | Manually pulling them from mails and forwarding | Automatically filtered and routed to the right person or system |
| Lead follow-up | Manual, often forgotten | Automatic follow-up sequences until the lead replies |
| Quote follow-up | Chasing by phone, often too late | Automatic reminders and nudges at the right moment |
| Drafting quotes | 30 min per quote | 2 min, automatically from CRM |
| Monthly report | Half a day of work | 5 min, automatic on the 1st of every month |
| Brain of your business | Info scattered across CRM, inboxes, Notion and loose documents | A single source of truth, connected to all your platforms — always up to date, also as a basis for social media posts |
But what if a human is needed?
Some tasks need judgement, context or human contact. For those cases Laura steps in — co-founder and our admin anchor. The combination of automation + people often works better than choosing one over the other.
Greeting customers properly, qualifying questions, transferring where needed.
Purchase files, legal follow-up, exceptions that don’t fit a template.
Empathy, nuance and a Belgian ear. Things AI can’t do yet.

Frequently asked questions
A first automation at Kroonwerk starts at €1,600. For that we typically build one well-scoped workflow that immediately saves time or generates leads — for instance an automatic lead-prospect via Google Maps and LinkedIn, an AI-triggered mail follow-up, or a document generator that creates quotes from your CRM data. We deliver a running, monitored system within 2 to 3 weeks.
For a well-scoped first automation, count on 2 to 3 weeks from sign-off. Larger systems (CRM integration, AI personalisation, A/B testing, reporting) run 4 to 6 weeks. We work in short iterations: after week 1 you see a first working version, then we fine-tune until it runs the way you want.
Kroonwerk works with fixed project prices, not by the hour. For well-scoped projects we set a fixed total price so you know upfront what you pay. For ongoing maintenance, hosting, monitoring and small tweaks we work with a monthly retainer from €250 per month. No surprises on your invoice and no incentive for us to stretch hours — if we are done faster, you pay less.
The most automated SME tasks are: drafting quotes and invoices from CRM data, email follow-up of leads and customers, calendar management and appointment confirmations, building reports from multiple data sources, classifying and routing leads, social media monitoring for lead signals, and moving data between systems (from web form to CRM to bookkeeping). What can’t (fully) be automated — phone, complex client conversations, judgement-based case handling — is covered by Laura’s admin support.
Automation replaces repetitive, rule-based work: generating reports, following up emails, syncing data between systems, drafting documents from templates. A virtual assistant (a real person) replaces tasks that need judgement, context or human contact: answering the phone, replying to complex emails, greeting customers properly, managing calendars. At Kroonwerk we do both. The combination often works better than choosing one over the other.
No demo, no sales pitch. We listen, we look together at what is in the way, and at the end we know whether we can mean something for each other.
